GROUP CHECK IN PROCESS







• Group arrivals would be discussed in the initial briefing session.

Duty Manger would block the rooms for group arrival in the morning at 0700 hrs and inform housekeeping about it. Duty Manger will also inform the time before which the rooms have to be made ready.

While blocking the group rooms following things will be taken into account: -

• Name of the Group Leader
• Number of guests arriving in a group.
• Number of Rooms required.
• Rooming list sent by the group.
• Types of rooms and beds requested.
• Number of available rooms.
• Any special requests mentioned.
• All rooms to be blocked on the lower levels to facilitate speedy handling of luggage and speedy cleaning of the rooms.

• Prepare a group kit that would include:-

• Rooming list. (To take guests’ signature & number of bags)
• Guest room keys
• Welcome letters
• Personalized stationary
• This kit will be handed over to individual guests on arrival.


• On arrival to the hotel Duty Manger will get following information from the Group Leader

• passport details
• confirm billing instructions
• wake-up call
• Baggage down time
• Meal venues and timings

• FOA will also verify the voucher entitlements; Check if there are any changes.

• Make necessary changes in the billing or room arrangements if there are any special instructions make an appropriate entry into Daily Logbook.

• Group would be escorted, in batches, to the floor

• Distribute the rooming list to Housekeeping and the F & B department.

• Duty Manager will ensure and check for proper charge routing to the proper master bill as stated in billing instructions.

• FOA will make appropriate entry in the Log Book.
